The Document Development Life Cycle

The RTC consultant will use an industry-standard documentation development life cycle to achieve the successful completion of tasks and project deliverables. The proposed life cycle consists of the following four phases:

    * Information Planning—Perform preliminary information gathering, identify documentation scope and objectives, develop a documentation plan, and identify key personnel responsible for providing, reviewing, and approving document content.

    * Content Specification—Analyze and define the document audiences, develop detailed document outlines, establish page counts and revise the documentation plan accordingly, and design document standards, templates and formats.

    * Development—Develop document content, facilitate document reviews and revisions, and manage ongoing documentation issues.

    * Production—Produce final documents as defined in the Documentation Plan, create and maintain a central library for project documentation.
The structured approach of the Document Development Life Cycle helps to ensure that business needs are clearly defined at the outset and remain visible throughout the document development process. Using a phased approach provides a mechanism for checking quality, accuracy, and focus and making corrections and adjustments at many points throughout the development process—not just at the end of the project. The life cycle dramatically increases the opportunity for success by delivering targeted, custom documentation that truly serves the long-term business needs of the users.


Task-Oriented Content

In the design and development of the document content, the RTC consultant will use a task-oriented approach. In a task-oriented approach the consultant analyzes the business tasks of the audience and designs the documentation to support these tasks. With task-oriented documentation, the audience can find information related to specific business tasks quickly and easily. By directly supporting the audience business tasks, task-oriented documentation provides the following benefits:

Document Quality Assurance

RTC’s approach is based on a commitment to produce high-quality deliverables and services. Our Quality Review and Assurance objectives include:

The RTC consultant will achieve document quality by using the following tools and techniques:
    * Four-phase document development life cycle—ensures documentation quality and accuracy by providing proper planning and control over each step of the document development process.
    The multiple phases provide a number of significant opportunities for the project team to review the documentation activities and products to ensure that the final deliverables will meet or exceed expectations.

    * Documentation standards—defining documentation standards early in the project ensures that the documents will be consistent. Consistent documentation is easier to use and is more satisfying to the audience.

    * Documentation reviews—throughout the phases of the document development life cycle, reviewers (who will be specified in the Documentation Plan) will review the content to help ensure accuracy and quality.

    * Document Testing—the consultant will utilize a hands-on approach to document content development and testing, using the documentation to perform various system procedures.


Documentation Project Management
To ensure the successful and timely completion of the project, the RTC consultant will work with the Project Manager to create a project structure that ensures:

    * Task assignments are clear and well understood.
    * Status reports (weekly and monthly) are accurate and completed on time.
    * Issues and risks are identified, tracked, and resolved in an expeditious manner.
    * A clearly defined approval process is documented and followed.
    * Resources are available as required to obtain needed data and conduct necessary meetings.
    * All project deliverables are reviewed, complete, and accurate.
    * The RTC consultant is provided the tools and information needed to complete assigned tasks.
The RTC consultant will prepare weekly status reports to keep our clients informed of progress, planned activities for the upcoming period, and any risks or issues that may need to be resolved. In addition to formal status reports, the RTC consultant will establish a close working relationship with the project team members and informally communicate project status on a regular basis. Project progress will be measured against the project work plan and monitored by both the RTC consultant and the client Project Manager.
